Off-roading carries inherent, foreseeable and unforeseeable risk. Soft sand, dune faces, wadi crossings, water crossings, mountain trails, remote terrain, night driving, breakdowns, animal encounters, extreme heat and long distances from medical help can each cause vehicle damage, serious personal injury, or death. By registering with Weekend Offroad Warriors LLC ("WOW") and RSVPing to any drive or event you (the "Member"):
Acknowledge that you have read this policy in full, that off-road driving is inherently hazardous, and that no course of conduct by WOW can eliminate that hazard.
Voluntarily assume all risk of loss, damage, personal injury and death arising from or connected with any WOW drive, event, meet-up, camp, recovery, convoy, transit or ancillary activity.
Waive, release, discharge and hold harmless WOW, its founders, Co-Leads, Warriors, volunteers, sponsors, partners and their respective family members from any and all claims, demands, causes of action, damages, costs and expenses (including legal fees) of every kind, whether in contract, tort, statute or otherwise, arising from your participation, to the fullest extent permitted by the laws of the Sultanate of Oman.
Confirm you are physically and mentally fit to drive off-road and are not concealing any condition (cardiac, epilepsy, uncontrolled diabetes, recent surgery, pregnancy, severe allergy, etc.) that could put you or the convoy at risk.
WOW Co-Leads are volunteers. They brief, sweep, coach and coordinate; they are not licensed professional guides, medics, or off-road instructors and they do not assume duty of care for your driving decisions. Recovery work uses rated equipment and trained Warriors, but any recovery can fail. You accept that risk.
2. Driver, vehicle & insurance responsibility

The Member is at all times the operator of their own vehicle and is solely responsible for its condition, roadworthiness, and lawful operation. You warrant that:
You hold a valid GCC driving licence appropriate to the vehicle you are driving.
Your vehicle is registered, has a current Mulkiya, and is mechanically sound for the terrain briefed.
You carry the safety gear specified on the event card (recovery gear, sand flag on dune drives, tyre gauge, minimum 5L water, first-aid kit) at the meet point. Rigs missing mandatory kit may be turned away without refund.
You hold current comprehensive motor insurance and you have confirmed with your insurer that off-road recreational events are covered. Damage sustained on a WOW drive is between you, your insurer, and the third party (if any). WOW does not insure Member vehicles.
You are responsible for any recovery costs (winch, tow, breakdown, fuel top-up) for your own rig if the convoy cannot recover you on the trail.
If your vehicle causes damage to another Member's vehicle, to property, or to livestock, the resolution is between the parties involved and their insurers. WOW will assist with facts but does not mediate financial settlement.
3. Fitness to drive: alcohol, drugs, health

Zero alcohol behind the wheel. Oman law is zero-tolerance and WOW enforces the same. Any Member who has consumed alcohol, or any impairing substance (recreational, prescription or otherwise), will be turned away at the meet point and will not receive a refund.
No alcohol on convoy or during recovery work. Alcohol is only permitted at overnight camps, after the convoy has parked for the night, at the discretion of the Co-Lead and only where local rules permit.
Fatigue counts. If a Co-Lead judges you unfit to continue (fatigue, dehydration, heat stress) you will be required to hand the wheel to a passenger or wait at a safe stop.
Medical conditions. Disclose material conditions (heart, epilepsy, severe allergies, pregnancy after the second trimester, etc.) to your Co-Lead before departure. WOW may decline your RSVP for safety reasons; that decision is final.
Emergency medical response. If you need medical evacuation on a drive, WOW will call Royal Oman Police / civil defence and coordinate. All costs (ambulance, air-ambulance, hospital) are the Member's responsibility.
4. Minors & non-member passengers

A Member who brings a passenger (minor or adult) is that passenger's guardian and sponsor for the duration of the event. You sign this waiver on their behalf.
Passengers under 18 must sit in a rear seat where the vehicle permits, and use age-appropriate restraint. WOW may refuse a minor at the meet point if restraint is inadequate.
Certain events (night drives, advanced dunes, long convoys) are closed to minors. Suitability is on the event card.
Non-Member adult passengers must be introduced to the Co-Lead at the meet point and accept these policies before departure. WOW may cap Member+1 or Member+2 to protect convoy pace.
5. Code of conduct & enforcement

WOW is a community. We expect every Member to:
Follow the Co-Lead's brief. Every drive opens with one. If you missed it, ask before departure. Do not go off-piste.
Hold convoy spacing. Close enough to see the rig in front, far enough to stop safely.
Help the convoy. Spot for the next driver, mark soft sections, share water, wait for the sweep.
No racing, no flexing, no showboating. WOW is not a competition. The convoy moves at the pace of the slowest safely-driven vehicle.
Recover safely. Use rated gear, soft shackles, and proper technique. If unsure, wait for a Warrior or Co-Lead.
Respect Omani culture, local communities and the environment. Modest attire near villages, no loud music, no drone flights over private property or gatherings without permission.
No harassment, discrimination, or abuse of any Member, guest, sponsor, member of the public or wildlife, on- or off-drive. This includes conduct on the WOW WhatsApp group.
The Super Admin may issue a written warning, suspend, or permanently remove any Member from the WOW DB, the WhatsApp group, and future events for any breach of this code or any conduct that endangers others, damages the WOW brand, or damages relationships with sponsors and authorities. That decision is final and does not entitle the Member to a refund of past contributions or membership fees.
6. Photo, video & media release

All content captured at any WOW drive, event, meet-up or camp - photographs, video, audio, drone footage and any derivative works - is the exclusive property of Weekend Offroad Warriors LLC, regardless of who operated the camera or drone (Co-Lead, Warrior, volunteer, Member, guest, sponsor or engaged third party). All copyright, moral rights (to the extent permitted by Omani law) and related rights vest in WOW at the moment of capture.
By RSVPing you grant WOW a perpetual, worldwide, royalty-free, irrevocable, non-exclusive licence to use, edit, reproduce, distribute, transmit and publish content in which you or your vehicle appear, for:
The WOW website, Sandbook gallery, Instagram, drive recaps, marketing and safety training material.
Sponsor and partner co-branded posts, subject to Section 10.
Internal use (Co-Lead debriefs, incident reviews, training).
If you object to appearing in WOW content, you must notify the Super Admin in writing via the contact form well in advance - and no later than 48 hours before the event. On timely notice we will keep you out of frame where reasonably practical. Objections raised at or after the meet point cannot be applied to content already captured, but WOW will consider a targeted takedown of already-published material via the contact form at its sole discretion; where accepted, the material is removed from WOW channels within 48 hours.
Members and guests may not sell, license, or commercially exploit content taken at a WOW event without WOW's prior written consent. WOW does not sell or license drive content in a way that individually identifies a Member without that Member's written consent.
7. Privacy & the WOW DB (PDPL Oman)

WOW processes personal data in accordance with the Personal Data Protection Law of the Sultanate of Oman (Royal Decree 6/2022, "PDPL") and this policy. The controller of your personal data is Weekend Offroad Warriors LLC, Muscat.
What we store
Identity: name, date of birth, nationality, city.
Contact: email, WhatsApp number, alternative phone, emergency contact name and number.
Identification: civil ID / passport reference (where required for multi-day camps, border crossings, or sponsor events).
Drive history: which events you attended, RSVP status, incident notes if any.
Media (optional): personal photo, vehicle photo, ID card image, payment receipt.
Purpose & lawful basis
Convoy safety, matching drivers to appropriate drives, and emergency response - based on your consent (RSVP) and legitimate interest in Member safety.
Member communication (drive briefs, updates, WhatsApp group invite) - based on your consent.
Compliance with authorities (Royal Oman Police, civil defence, permit-issuing bodies) - based on legal obligation.
Who can see it
You - your full record, editable from the Members page.
Co-Leads - working access to name, phone, vehicle and drive tier for events they lead. No access to civil ID / passport, DOB, or ID card images.
Super Admin - read/write on every record.
Sponsors & third parties - never, except with your explicit consent for a specific offer.
Authorities - on lawful request only (police enquiry, court order).
ID card and civil ID images - restricted to the Super Admin in a permission-locked Drive folder.
Retention
Active Member records are retained while your membership is active.
On resignation or removal, contact details are deleted within 30 days.
Drive history and RSVP records are anonymised (Member ID replaced with a hash) and retained for statistical purposes and season reports.
Financial receipts are retained for the period required by Omani tax and accounting law.
Your PDPL rights
Access, correct or update any of your data from the Members page, or ask the Super Admin.
Request a machine-readable export of your record via the contact form - delivered within 30 days.
Request full erasure - we wipe your record within 30 days. Drive history is anonymised, not restored.
Withdraw consent to non-essential communications at any time.
File a complaint with the Ministry of Transport, Communications & Information Technology (the PDPL supervisory authority in Oman) if you believe your rights have been breached.
WOW does not transfer personal data outside Oman except to processors we use (e.g. Google Workspace) under standard contractual safeguards.
8. Payments, refunds & cancellations

Each drive has a contribution set on the event card. You pay to reserve your spot - this locks in your seat, funds Co-Lead time, route scouting, recovery gear, water, camp / food costs and any permit fees, and speeds up registration for future events. Some sponsor discounts are only unlocked once a slot is paid.
Member cancels
More than 48 hours before the published meet time: full refund or credit toward your next drive, your choice.
Inside 48 hours: no cash refund. Camp, food, permits and sponsor commitments are already spent. If the reason is medical (with proof) or a bereavement, the Super Admin may move the contribution to a credit at their sole discretion.
Same-day no-shows: no refund, no credit. Your slot was held.
Waitlist
If a drive is full you may join the waitlist without paying. If a slot opens you'll be notified via WhatsApp; payment is due within 24 hours or the slot passes to the next person.
WOW cancels or changes the drive
Weather, safety, permit issues, low RSVPs, or force majeure (see Section 9) - full refund or credit, your choice.
Route or date changes - if the change is material and you can no longer attend, full refund.
Store orders (once launched)
Standard items: full refund before dispatch. Once shipped or picked up, non-refundable unless faulty.
Custom items (embroidered patches, sized tees): non-refundable once production starts.
Chargebacks
Please contact us before raising a chargeback. Chargebacks raised without contacting us may result in loss of Member status and forfeiture of any future credits.
9. Event modification, cancellation & force majeure

WOW may modify, postpone or cancel any drive without liability where doing so protects the safety of the convoy or where continuing would be unlawful, impractical, or contrary to guidance from Omani authorities. This includes but is not limited to: severe weather (Shaheen, Luban, or comparable systems), flash-flood risk, extreme temperatures, sandstorms, road closure, permit revocation, security advisories, national mourning, public health emergency, war, civil unrest, strike, terrorism, or any other event beyond WOW's reasonable control ("Force Majeure").
Where an event is modified or cancelled for Force Majeure, refunds follow Section 8. WOW is not liable for consequential losses (annual leave, non-refundable hotel bookings, flights, etc.).
10. Sponsors, partners & third-party services

WOW sponsors and partners (Global Oryx Tyres, Apex Valves, Falcon Automotive, To-go, Renew and any future addition) are independent businesses. Their goods and services are their own responsibility - not WOW's.
Any discount, offer, warranty, service or product provided by a sponsor is a contract between you and that sponsor. WOW is not a party to that contract and is not liable for any dispute arising from it.
WOW does not receive commission on Member purchases from sponsors unless disclosed in writing.

11. Leave no trace

The land we drive on is fragile. Sand, wadi, mountain, coast - all of it is shared with locals, wildlife and the next convoy through. Every WOW drive ends with:
All rubbish carried out. Not buried, not burned.
No fires on dunes. Camps only, with a base plate.
No off-trail driving in protected wadis, palm groves, or near villages.
No live wildlife disturbance. Drone pilots keep distance from nesting birds and grazing animals.
Tyre pressures back up before public roads.
Breaches of this section are treated as a serious Code of Conduct breach (Section 5).
12. Limitation of liability & indemnification

To the fullest extent permitted by the laws of the Sultanate of Oman:
WOW's total aggregate liability to any Member for any and all claims arising from or connected to WOW drives, events, membership, or use of this website, whether in contract, tort, statute or otherwise, is capped at the total contributions actually paid by that Member to WOW in the twelve (12) months preceding the event giving rise to the claim.
WOW is not liable for indirect, consequential, incidental, punitive or special damages, including but not limited to loss of profits, loss of use, loss of data, loss of holiday, or third-party claims against the Member.
Nothing in these policies excludes liability that cannot be excluded under Omani law, including liability for death or personal injury caused by gross negligence or wilful misconduct.
The Member indemnifies and holds WOW harmless from any claim, loss, cost, damage or liability arising from the Member's breach of these policies, breach of Omani law, or wrongful act or omission on a WOW drive.
13. Governing law, disputes & changes

Governing law. These policies, all Member interactions with WOW, and any dispute arising from either are governed by the laws of the Sultanate of Oman.
Dispute resolution. Members agree to first raise any dispute in writing via the contact form and to attempt good-faith resolution within 30 days. If unresolved, disputes fall under the exclusive jurisdiction of the courts of Muscat.
No employment / partnership. Nothing in these policies creates an employment, agency, partnership or joint-venture relationship between WOW and any Member, Co-Lead, Warrior or volunteer.
Severability. If any part of these policies is held unenforceable, the rest continues in full force.
Changes. WOW may update these policies at any time. Material changes will be announced via the WOW WhatsApp group and by a "Last updated" bump at the top of the affected section. Continued participation after a change is deemed acceptance.
